Member Transfer of Facility Ownership Info


When the ownership of Underground Facilities in Tennessee changes, Tennessee 811 needs specific documentation and information (in advance as much as possible) to change the information in our system and provide as seamless a transition as is possible.



Information needed in a document from the existing Member / owner of the underground facilities:


1) Member Name and Member Code.


2) Statement informing Tennessee 811 of the change in ownership of the underground facilities.


3) The company name of the new owner of the underground facilities.


4) A contact or contacts with the new owner of the underground facilities.


5) A date when the transfer of ownership will take place.


6) Permission to transfer ownership and provide access to relevant information within the Tennessee 811 system.


7) Permission to provide access to relevant service area, outputs, Positive Response and Service Area Editor to the new owner.


8) If the new owner of the underground facilities is creating a new account with Tennessee 811,


   the existing member needs to provide permission to deactivate their membership and turn off their outputs.


    Note: this can only be done after the new member has been fully set up and activated in the Tennessee 811 system.


Facility Transfer: Existing Member Form

Information needed in a document from the new owner of the underground facilities:


1) If the new owner of the underground facilities is new to Tennessee / Tennessee 811.


   A) The new owner needs to complete and turn in an Application for Membership form. It can be found here.


   B) Provide a document Informing Tennessee 811 of acquisition of the underground facilities and from whom


     the underground facilities were acquired. This can be sent along with the Application for Membership.



   After Tennessee 811 receives verification from the existing Member / former facility owner of the change in


   ownership of the underground facilities:


   C) The new owner may request access to the service area, output, and Positive Response Information that


     Tennessee 811 has in our systems.


   D) The new owner needs to decide if they wish to use the existing service area or provide a new service area.




2) If the new owner of the underground facility is already an existing Member of Tennessee 811:


   A) The new owner needs to inform Tennessee 811 of the acquisition of the underground facilities and from


     whom the underground facilities were acquired.


   After Tennessee 811 receives verification from the existing Member / former facility owner of the change in


   ownership of the underground facilities.


   B) The new owner may request access to the service area, outputs, and Positive Response information that


     Tennessee 811 has in our system.


   C) The new owner needs to inform Tennessee 811 if they plan to keep a separate membership for the


     facilities or if they plan to integrate it into an existing Member code.


   D) The new owner needs to provide updated contact and output information.


   E) The new owner needs to decide if they wish to use the existing database service area or provide a new service area.
